Payments, Refunds & Cancellation Policy
Effective Date: March 8, 2026

*These are general policies which apply to the facility and a Trainer may choose to abide by at their discretion. All Trainers are independent contractors who may or may not have policies which align with those outlined here, contact the trainer directly for their specific policies. 

1. Payments

All prices are listed in Canadian dollars and are subject to GST where applicable.

Payment is due at the time of purchase unless a written billing arrangement says otherwise.

We may accept payment by credit card, debit card, e-transfer, pre-authorized debit, or other methods shown at checkout.

If you enroll in a recurring membership or recurring coaching plan, you authorize us to charge the payment method on file according to the billing schedule disclosed at signup.

If a payment fails, we may pause future bookings, classes, or access until the account is brought current.

2. Transparent billing

Before you buy, we will disclose the total amount due, what is included, billing frequency, the term of the plan, any renewal terms, and any important limits or conditions. Alberta consumers have a right to be informed and to fair treatment in consumer transactions.

We will not charge you for services you did not request and agree to purchase.

3. Session packages and memberships

Single sessions, class packs, small-group training packages, nutrition packages, and memberships are personal to the purchaser unless we state otherwise in writing.

Packages and memberships may have expiry dates, blackout dates, or booking limits if those terms are clearly disclosed before purchase.

4. Client cancellation of appointments/sessions/consultations

To cancel or reschedule a session, clients must give at least 24 hours’ notice by directly contacting their trainer in writing. 

If less than 24 hours’ notice is given, or if the client does not attend, the session may be treated as used and may be non-refundable.

We may choose to waive a late cancellation fee in cases of emergency, severe weather, sudden illness, or other exceptional circumstances.

5. Membership cancellation

Month-to-month memberships may be cancelled by written notice to ExecutiveAthletics.yeg@gmail.com at least 7 days before the next billing date.

Fixed-term memberships or coaching agreements remain in effect for the agreed term unless the written agreement says otherwise or the law gives a cancellation right.

Cancellation stops future billing only; it does not automatically create a refund for services already delivered, sessions already used, or the current billing period unless this policy or the law says otherwise.

6. Refunds

Unless required by law or specifically promised in writing, the following are generally non-refundable:

  • Completed sessions or coaching already delivered.

  • No-shows and late-cancelled appointments under this policy.

  • Used portions of packages or memberships.

  • Gift cards, promo purchases, and expired packages.

  • Fees charged by third-party payment processors, where those fees are not returned to us.

If we approve a refund for a partially used package, we may deduct the value of sessions already used at the regular single-session rate rather than the discounted package rate.

If we cancel a service, coach assignment, or program and cannot provide a reasonable substitute, we will provide a credit or a refund for the unused portion, at our discretion unless the law requires a specific remedy.

7. Medical or compassionate requests

If a client cannot continue due to medical reasons, relocation, pregnancy-related restrictions, or other serious life events, they may contact us in writing with supporting information.

We may offer a pause, extension, transfer where appropriate, credit, or partial refund, depending on the circumstances and the type of service purchased.

8. Online sales and statutory cancellation rights

Nothing in this policy limits any cancellation or refund right you may have under law.

For example, Alberta’s Consumer Bill of Rights says a consumer may cancel an internet purchase or contract over $50 within 7 days if the business failed to properly disclose the total amount owed, or if goods are not delivered within 30 days of the delivery date.

If a consumer transaction involved an unfair practice, Alberta law may give the consumer the right to cancel without penalty within one year and seek other remedies.​

9. Chargebacks and payment disputes

If you believe a charge was made in error, please contact us first at ExecutiveAthletics.yeg@gmail.com so we can review it quickly.

We reserve the right to dispute chargebacks where records show that charges were properly authorized, services were delivered, or this policy was accepted at checkout.

10. Changes to pricing or policy

We may change pricing, package structures, or this policy prospectively.

Any change will not affect purchases already completed unless the original agreement expressly allows that change and the law permits it.
